The primary focus of this role is to provide comprehensive administrative assistance across various departments, ensuring the seamless and efficient functioning of day-to-day operations. You will play a key role in maintaining organisational effectiveness by handling diverse administrative tasks, coordinating workflows, and supporting teams in achieving their objectives.

FULL TIME HOURS 8AM - 4.15PM MON-FRI

PERMANENT

UP TO £25K DOE

 THE ROLE

 Based on front line reception, dealing with any initial calls or visitors into the business

  • Provide general administrative support to various departments across the business
  • GRNI receipting for engineering maintenance and PPE stock management
  • Co-ordinate and organise supplies of refreshments and kitchen supplies delivered to the site for employees or visitors, ensuring enough are available, and obtained
  • Maintain office supplies and initiate purchase requests when necessary
  • Assist in organising meetings and events, including room bookings and catering arrangements
  • Arrange disposal of confidential waste and used toner cartridges
  • Scanning and filling permits, pre task risk assessments and induction questionnaires
  • Ensure that all contractors and internal engineering team competency records are up to date
  • Maintain accurate and up-to-date records of visitors, calls, and deliveries
  • Handle incoming and outgoing mail, packages, and deliveries
  • Coordinate courier services and manage shipping and receiving activities
  • Book accommodation and taxis for visitors as and when required
  • Own and manage the car hire and buffet processes
  • Updating telephone list and track-it board when necessary

WHAT WE ARE LOOKING FOR

  • Previous experience within an administrative coordination role
  • Strong attention to detail and highly organised
  • Excellent communication skills
  • A good level of IT literacy to include MS Excel
